Morecambe Bay Terms & Conditions

Registration

You must complete, in full, the online application form and pay the full entry fee via Debit/Credit card. If you wish to pay via cash or cheques please collect an entry form from Trinity Hospice, fill in all your details and return with the full entry fee to;

Each participant must complete their own application form. The entry fee covers all fees, expenses and insurance for the event and is therefore non-refundable. All participants must be aged over the age of 10. However a child over the age of 16 must be accompanied by an adult.

Sponsorship money

This is a sponsored event and your support and the sponsorship you raise is so important to our patients and their families. Your entry fee covers the cost of the event. Please secure a minimum sponsorship of £30 per person, which will go directly towards our patients care here at Trinity Hospice. All funds raised by your participation in events for support of Trinity Hospice are raised for the sole purpose and benefit of  Trinity Hospice (registered charity no. 511009) and those who receive the support from its services.

Your sponsorship form is included in your entry pack and must be returned as soon as possible after the event along with any funds raised. Tick the gift aid box where applicable, so we can make your donations go 25% further for our children. Imagine how much more funds Trinity Hospice would receive, at no extra cost to you, if everyone eligible ticked this box.

You can pay in your sponsorship via cheque to the above address, drop off your sponsorship form and any monies you have collected or donate online at https://secure.trinityhospice.co.uk/makedonation/ and leave a note in the comment box. If you have set up an online fundraising page through www.justgiving.com then you do not need to do anything further. We kindly request that you do not send any cash through the post.

Cancellations

This is a weather dependant event and if the organisers of the event feel it is unsafe to go ahead, Trinity Hospice reserves the right to cancel the event at any point.  In the unforeseeable event that the challenge cannot take place on 19th August, we will arrange another date and this will be offered as an alternative. Refunds will only be given if the event is cancelled by Trinity Hospice and an alternative date cannot arranged.

We aim to ensure commencement of the event however should a decision be necessary to postpone or cancel the event; participants are encouraged to look out for updates via Trinity Hospice and Brian House social media channels.

Your Safety

We advise you to wear old trainers or comfortable walking shoes and shorts or trousers as you may be wading through water. This is usually between knee and thigh depth. There are no stops on route, if you wish to bring refreshments they can be consumed before or after the event, or whilst walking as the challenge is scheduled over lunch time. We recommend you bring the following – a drink, chocolate bar or fruit, sun cream, water proofs, towel and a change of clothes. There are dangerous quick sands in the bay so to ensure your safety you must stay with the group and follow instructions from the guide and his helpers. You are required to wear your Trinity t-shirt at all times, so we can easily keep our team together.No prams, pushchairs or bicycles are permitted. Dogs are welcomed on leads but cannot travel on the Trinity bus.

Trinity Hospice and Brian House Children’s Hospice cannot be hold reasonable for loss , damage or injury, consequential loss suffered by any entrant personally or to their property as a result of their participation in the Morecambe Bay Walk . All entrants must take responsibility for their own health and safety.  For your safety during the event we ask that you follow and adhere to the instructions given by the event organisers. No walker will be allowed to walk, before signing that they have read and understood the terms & conditions.

All entrants must take responsibility for their own health. If you do have any medical conditions that an affect your participation in the event then please consult your doctor prior to registration. Please bring with you any medication or aids you may need. Due to the nature of this event, the Morecambe Bay may not be suitable for people with a disability. Please contact Trinity Hospice to discuss this matter further before registering your place on the event.

If you are unable to attend the event, you must inform Trinity Hospice and Brian House prior to the event. If you are unable to continue with the event or require any medical assistance on the evening we ask that you inform one of the event organiser’s immediately. Alcohol/ drugs are not permitted at the event and any participant who is under the influence before or during the event will be refused entry and asked to leave.Please wear comfortable clothing during the event. This is an outdoor event and you will need to dress appropriately for the weather.

Toilets and Parking

Parking is available at Arnside at an additional charge. There will be pay and display meters around please ensure that you pay the correct amount for the time that you need before setting off on the challenge. You will need to arrange transport back to your vehicle from Kents Bank to Arnside after the event. There is a train that crosses Morecambe bay and only takes a few minutes. If someone else is driving for you but not taking part in the event them they can pick you up from the Abbott Hotel at Kents Bank. There is a car park a free of charge car park at the Abbott Hotel however this is on a first come first serve basis..  If you have booked onto the Trinity Coach you will be dropped off at Arnside and Picked up again at the end of your walk at the Abbott Hotel at Kents Bank. Toilets will be available at Arnside at 20p per use and at Kents Bank free of charge. There will be no toilets on route during the walk.

Photographs and Videos

By taking part, all participants confirm that they are happy for their names and any footage or photographs taking during the event to be used to publicise or report on the Morecambe Bay Walk and Trinity Hospice generally. Should special dispensation be required, it is the responsibility of the participant to inform Trinity Hospice of such requirements.

We recognise family and friends may wish to photograph you taking part in the event, however if you are an unofficial, professional or commercial photographer and plan on taking multiple photographs of participants who are not personally known to you, please contact us prior to the event to obtain permission and a full briefing. In order to ensure the safety and privacy of our participants, Trinity Hospice reserves the right to ask any person taking photographs to refrain from doing so.

Trinity Hospice & Brian House reserves the right to update its terms and conditions in relation to the Morecambe Bay Walk at any time prior to the event. All participants will be provided with any updated terms and conditions in advance of the event or on the day of the event. By registering for this event you are agreeing to follow these terms and conditions.
